Freight is sold by people, but it is tendered by a carrier and covered by insurance. Here are the records we operate under and the carrier requirements behind every load we quote.
Freight arrangements
Freight is arranged directly through Dynamic Distribution Solutions LLC dba Portlandia Logistics; carrier insurance certificates are verified per load.

Insurance verification
Every load moves on a carrier whose certificate of insurance is on file before dispatch.

Carrier insurance & safety requirements
No carrier is dispatched until these are on file and verified. We ask for the certificate before the load is tendered, not after a claim.
- Active MC / DOT authority matching the carrier entity (or a documented lease/agent agreement).
- Auto liability COI with the shipper named as certificate holder where required.
- Cargo coverage adequate for the commodity and declared value; $100,000 minimum for general freight.
- W-9 and signed carrier agreement before the first tender.
- Safety rating and CSA check for the power unit assigned to the load.
- Insurance expiry tracked — a carrier is removed when the certificate lapses, not when the load is delivered.
- Hazmat / temperature endorsements required where the commodity demands them.
- Driver and equipment identity captured on the rate confirmation and BOL.
- Claims handled against the carrier's cargo policy with our dispatch documenting the exception on pickup.
- COI, W-9 and MC letter can be submitted on the carrier onboarding page.
Rate basis & assumptions
The instant estimate is a transparent planning range, not a carrier quote:
- LTL: $145 base + $0.62/road mile + $0.045/lb + $18/pallet, adjusted by NMFC class density factor, +18% fuel surcharge.
- Truckload: $2.35/road mile, $575 minimum, weight adjustment above 20,000 lb.
- Accessorials (liftgate, residential/limited access, appointment, inside delivery, hazmat, temperature, rigging) are added at fixed published amounts, never invented later.
- Mileage uses ZIP geocoding and a 1.17 road factor; exact addresses can change the final rate.
- Not included: detention beyond free time, reweigh/reclass, storage, or anything the shipper adds after tender.
Payment, invoicing & terms
The site does not force a card checkout at quote time. That is deliberate: freight is tendered, delivered, then invoiced with proof of delivery.
- Net terms — standard net-30 from invoice date for approved shippers; shorter terms available for new accounts.
- ACH / wire — payee is the invoicing entity, Dynamic Distribution Solutions LLC dba Portlandia Logistics. Request the EFT/ACH remittance form from [email protected] quoting the invoice number, and send remittance advice to the same mailbox. Bank details are released only after the account is verified current — do not send funds against details from an older invoice.
- Card payments — available on invoice as a Stripe hosted link created by dispatch. Until Portlandia Logistics has its own merchant account, card funds are collected on its behalf through an affiliated payment account and reconciled against the invoice; the invoice states this to the payer.
- Disputes — invoice disputes must be raised within 15 days; accessorials are itemized with the BOL and delivery receipt.
Data handling & privacy
Quote submissions store the contact and shipment details you provide, for the purpose of pricing and following up on that shipment. Access is limited to dispatch. We do not sell or rent lead data.
